I've set up a PC with VirtualDJ 7.3 at the nightclub I work at, each DJ brings their own harddrive.
How do I keep all of my data stored so it isn't removed when someone fixes the drives?

Not sure what you mean by "fixes the drives". If you mean fix database in the VDJ config then nothing will happen if your own drive is not plugged in at the time.
Assuming all your songs are on your external HDD and added to the VDJ database, VDJ will create a DB file on the root of the external hard drive with all your BPMs, cue points etc.
All you have to do is plug in your external HDD and all your music and associated data will show in VDJ on the club PC.

Just FYI I would like to mention 2 things:
1. You can't use VirtualDj HOME FREE on a nightclub.
2. If you own VirtualDj PRO FULL, still the only legal user of the software is YOU. Typically according to EULA you can't lend/rend/lease the software to another user.

... but what if the owner of the club is the license holder and he/she purchased it for his/her DJ/vj's to use? I would assume this is legit.

Typically no, unless he asks and gets a special license.
I'm not a fan of the highly strict policies (down to the last letter of the law) but I'm just stating the facts:
According to the EULA the ONLY user who can use the software legally is the user that purchases it/buys a legal license.
If a club owner buys VirtualDJ for his club but he does not use it and puts other people to play music with it, then this is not a legit usage by the letter of the law.
The fact that EULA addresses a single user and permits lending/leasing the software is a COMMON PRACTICE among most of the software titles out there. The only exceptions on this rule are usually "seat-licensed" titles and "hardware-dongle protected" titles.
Anyway, I didn't mean to start a debate about the EULA. I just wanted to clarify that HOME FREE cannot be used on a club, and the fact that even if he owns PRO FULL he can't just install it on a system to be free for everyone to use it.
