I am doing my first venue/private function and I am meeting with the main coordinator for the whole event later this week to view the venue.
I just want to know what questions should I should ask and what do I need/bring to the viewing?

Keep your focus on the Music and Equipment that you will provide for the venue.
Music for what style they want you to play.
Equipment if you will bring your own rig you must know the size of the public or local.

Take a pen and paper, note the access points, times you can get in and when you have to be out by. Make a diagram of your play area and where power outlets are and how many. Measure the area so you are sure your gear will fit in the space. Ask about fire detection, will your smoke machine set it off. Policy on strobe lights, many dont allow them for insurance reasons. Check on security in the event of a guest getting naughty.
Most of all, ask anything you think might be affecting YOU, everyone else at the event can worry about themselves.
Take some pics of the area and the way in out etc. Keep your notes in a folder for future reference.
Lastly, check the route to the toilets!!

Who is the party for?
What type of music is off limits, what type is expected?
What gear are you expected to provide.
What gear will be provided for you?
Where will your desk be? Where will your stack be?
When to set up? When will the music start/stop? When for tear down?
The final question, are you expected to let some other person use part of your gear?

The final question is very important to me. I don't do ANY last minute request. No, you can't plug your stuff into my stuff, unless there is prior knowledge. I know many like to be accommodating, on this I am not (even though I did last week, for some kids dancing school). I actually plugged in the teachers iPhone (but don't tell anyone that I did that, because I will deny it.) Get all of the info as listed in all of the above post, and let them know that you will deliver everything that you have promised.
